THE INVOICE-TO-PAYMENT WORKFLOW

Less manual chasing.
More controlled progress.

Let eligible invoices move through configured checks. Give people a clear review point when information is uncertain, records do not match or approval is required.

01 / STEP

Capture & extract

Bring in invoices through uploads, manual entry or configured email, Gmail, WhatsApp and vendor-portal intake. AI extraction prepares editable fields; uncertain values stop for review.

02 / STEP

Match & validate

Compare purchase orders and goods receipts, check quantities, rates and tax arithmetic, and flag duplicates. Automatic progression pauses when evidence needs attention.

03 / STEP

Route & approve

Notify the assigned approver or apply an explicitly enabled supplier-and-amount auto-approval policy. Unresolved exceptions prevent automatic approval.

04 / STEP

Record & reconcile

Prepare reviewed accounting exports, record payment allocations and compare bank statement evidence. Finance reviewers confirm reconciliation decisions.

InvoiceFlow

Invoice Automation & Approvals

Bring supplier invoices from intake to reviewed accounting, with AI extraction, validation and accountable approvals.

  • Upload, manual entry or configured email, Gmail, WhatsApp and vendor-portal intake.
  • Editable AI extraction, procurement matching, quantity/rate/tax checks and duplicate review.
  • Exception correction, automatic progression, run history and notifications.
  • Assigned approvers or explicitly enabled supplier-and-amount policies; unresolved exceptions block auto-approval.
  • Reviewed accounting exports and configured ERP connections.

Uncertain fields and exceptions require review. Approval policies must be explicitly configured.

Procure

Procurement & Supplier Management

Keep supplier records, purchase orders and goods receipts connected to the invoice your team is reviewing.

  • Supplier information and purchase commitments in a shared record.
  • Goods receipts, including partial receipts, linked to supplier invoices.
  • Quantity, rate and duplicate checks against purchasing evidence.
  • Recorded reviewer decisions for invoice and receipt mismatches.

Purchasing evidence supports invoice review; customer-specific policies and connector capabilities need validation.

SettleView

Settlement Report Review

Stage gateway settlement reports, review source observations and retain the original evidence behind each decision.

  • CSV/XLSX source files with configured field mapping.
  • Staged review, row-level errors and missing-evidence checks.

DriverFinance

Driver Finance & Customer Collections

Bring driver earnings and settlements together with transport customer billing, while keeping receivables distinct from payables.

  • Trip earnings and the operation’s configured pay policies.
  • Driver salary settlements, advances, recoveries and adjustments.
  • Customer invoices for transport services and recorded collections.
  • Customer receivables kept separate from supplier payables.

Pay policies and settlement responsibilities are configured for the operation; this is not a claim of statutory payroll compliance.

ERP & ACCOUNTING CONNECTIONS

Work with the systems
your finance team knows.

Review incoming records, resolve mapping conflicts and confirm outbound accounting snapshots. Each connector needs customer credentials, account mappings and sandbox validation before rollout.

TallyPrime

Reviewed supplier ledgers and accounting purchase/payment vouchers, direct posting and XML downloads, alongside Tally-ready CSV. Inventory PO and receipt writes are not included.

Microsoft Dynamics 365 Finance

Reviewed imports and outbound creation through configured entities and journal mappings. Legal entity, financial dimensions and customer-specific metadata need validation.

ERPNext

Supplier, procurement, receipt, invoice and payment exchange. Outbound accounting documents are created as drafts for the next review in ERPNext.

Zoho Books + Inventory

Vendor, purchase order, bill and payment records through Books; purchase receives through a separately configured Inventory connection.

Connector capabilities vary by provider. ERPNext and Zoho invoice exports with TDS require additional withholding support. Accounting payment records do not initiate a bank transfer.

CONTROL AT EACH HANDOVER

Automation with
clear responsibilities.

Rules and review, working together

Automatic invoice progression checks evidence and workspace settings. Guarded auto-approval requires enabled feature access and an explicit supplier-and-amount policy. Other eligible invoices go to an assigned approver. Exceptions and uncertain extraction remain visible for review.

Agree the rollout scope

Bank reconciliation requires human confirmation. Settlement imports retain report evidence; they do not confirm bank credit or run live gateway sync. KriyoPay does not initiate supplier bank transfers or provide live vehicle tracking. Provider setup, accounting validation and production acceptance are agreed for each customer.

BEFORE A PRODUCT CONVERSATION

Questions your team may have.

Which workflow does KriyoPay cover?

KriyoPay connects invoice intake and AI extraction, procurement matching, configured approvals, ERP accounting, bank reconciliation and settlement report review. Transport workflows include orders, dispatch, delivery proof, driver earnings, salary settlements, customer invoices and collections.

Does KriyoPay make payments or post directly into Tally?

It supports reviewed TallyPrime supplier ledgers and accounting purchase/payment vouchers, including direct posting and XML downloads. CSV export remains available. The company connection and accounting mappings require validation. KriyoPay does not initiate bank transfers.

Is the transport module a live tracking system?

No. It covers vehicles, drivers, customers, transport orders, dispatch and trip milestones, delivery proof, driver finance and customer collections. Live GPS tracking and route optimization are outside the current scope.

Can invoices be approved automatically?

Yes, under guarded rules: the feature and an explicit supplier-and-amount policy must be enabled, required checks must pass and exceptions must be resolved. Otherwise an assigned approver reviews the invoice. AI extraction does not independently authorize payments.

How does bank reconciliation work?

Review imported bank statements against saved candidate evidence. Split or combined internal payment groups require matching account, currency, reference and exact totals. A finance reviewer confirms the decision. Settlement reports are reviewed source observations, not live gateway synchronization or proof of bank credit.

What should we bring to a product discussion?

Describe your invoice sources, procurement records, approval roles and accounting handover. Start with anonymized examples and agree the evaluation scope, configuration and acceptance criteria before sharing operational data.
